Problem:
DCME's operations were built on heavily paper-based processes typical of UK domiciliary care at the time: manual daily schedules for dispatching care staff, paper-based task and medication records, and no centralized system for compliance documentation like staff training, DBS checks, and risk assessments — all of which UK care providers are required to maintain for CQC compliance. That meant slow, error-prone dispatch, no real-time visibility into staff activity or task completion, and compliance tracking that depended on manual record-keeping rather than a system that could flag lapses before they became a regulatory problem.
Solution:
Latent built DCME as a complete care management platform — a web-based system for care providers plus a mobile app for care staff:
- Scheduling & advanced rostering — patient-staff appointment scheduling with rota cloning, multi-appointment assignment, and visibility into any unassigned appointments.
- Real-time field visibility — care staff mark arrival and departure and share real-time location through the mobile app, with real-time task-completion updates, alerts, and notifications back to the office.
- Medication administration tracking — staff record medication administration directly in the app as part of each visit, not on a separate paper chart.
- CQC compliance tooling — staff training records, DBS renewal tracking, employment references, needs and risk assessments, and policy management, with an alerting system so compliance tasks are never missed.
- HR hub & finance — recruitment, appraisals, supervisions, and disciplinaries managed in one place, alongside direct invoicing of service users and payment history.
- Family member app — a separate app keeping relatives informed and connected to their loved one's care, without needing access to the full staff system.
- Dashboard & reporting — a customisable 360° dashboard and in-depth reporting giving leadership a real-time view of business performance.
Impact:
The platform eliminated the operator's own reliance on printed daily schedules, cutting printing costs, and gave leadership real-time operational visibility they'd never had with paper-based dispatch. DCME now runs as a licensed product used by other UK domiciliary care providers — including Curantis Ltd and others — scheduling roughly 600 appointments a week for its original operator and supporting CQC compliance as a built-in part of daily operations rather than a separate administrative burden.
